The Payment Problem
You landed a brand deal. You delivered the content. The brand loved it. And then... silence. Weeks go by. You send an awkward DM asking about payment. They say they'll "check with finance." More weeks pass.
Sound familiar? This is the reality for most creators who don't have a proper invoicing system.
Why Professional Invoicing Matters
1. You Get Paid Faster
Brands have payment processes. An invoice with a PO number, due date, and clear payment terms fits into their system. A "Hey, can you send payment?" DM doesn't.
2. You Look Professional
A branded invoice signals that you're a business, not a hobbyist. It builds trust and sets the tone for future collaborations.
3. You Have Legal Protection
An invoice is a legal document. If a brand doesn't pay, your invoice is evidence of the agreed-upon terms.
4. Tax Season Becomes Easier
Proper invoices create a paper trail. Come tax season, you'll thank yourself for having organized records of every payment.
What Every Invoice Should Include
- Your name/business name and contact info
- Brand's company name and contact
- Invoice number (sequential: INV-001, INV-002, etc.)
- Date issued and due date (Net 30 is standard)
- Line items with descriptions:
- "1x Instagram Reel — Product review of [Product Name]"
- "1x Story set (5 frames) — Product unboxing"
- "Usage rights — 90 days, organic social"
- Total amount due
- Payment method (bank transfer, PayPal, etc.)
- Payment terms (Net 30, late fees if applicable)
Setting Up Your System
Option 1: Spreadsheet + Template (Free)
Create a Google Sheets template and save each invoice as a PDF. It works, but it's manual and easy to lose track of.
Option 2: Free Invoicing Tools
Tools like Wave or Invoice Ninja offer free invoicing with tracking. Good for getting started.
Option 3: KitDeck Invoicing (Built for Creators)
KitDeck's built-in invoicing lets you generate branded invoices directly from your deals dashboard. Track status (sent, viewed, paid), send reminders, and keep everything in one place alongside your media kits and analytics.
Payment Terms Cheat Sheet
| Term | Meaning | When to Use |
|---|---|---|
| Net 15 | Due in 15 days | Repeat clients, small brands |
| Net 30 | Due in 30 days | Standard for most deals |
| Net 60 | Due in 60 days | Large corporations |
| 50/50 | Half upfront, half on delivery | New brands, large projects |
| 100% upfront | Full payment before work | If you've been burned before |
The Golden Rule
Always agree on payment terms before you create content. Include terms in your email confirmation or contract, then send the invoice as soon as the content is delivered and approved.
